1. What We Collect
We collect two categories of information. First, business information that you (the contractor) provide during onboarding: business name, contact phone, contact email, Calendly (or other scheduling) link, the services you offer, pricing guidance, and qualifying questions. Second, lead data submitted by your end-users through your web form, widget, or webhook: the lead’s name, phone number, email address, and the free-form message or form fields they filled out. We also store the conversation transcripts between our AI and each lead (SMS and email), along with usage and cost metrics per account (token counts, message volume, provider spend).
2. How We Use It
We use this information solely to deliver the Service: routing lead data to our AI, sending SMS and email responses on your behalf, booking appointments on your calendar, tracking per-client cost and usage so we can bill accurately, and monitoring and debugging the platform. We do not sell your data. We do not use lead content to train third-party AI models outside of what is required to generate a response to that lead in real time.
3. Sub-Processors
We share data with the following service providers strictly as needed to operate the Service:
- Anthropic — AI model inference for lead responses.
- Twilio — SMS and voice delivery.
- SendGrid — outbound email delivery.
- Stripe — billing and payment processing.
- Supabase — primary database and file storage.
- Vercel — application hosting and edge infrastructure.
- Google — calendar webhooks for Calendly integration, where applicable.
4. Data Retention
For active clients, we retain your data for as long as your account is active. After cancellation, we retain your data for 30 days to allow export, after which it is permanently deleted from active systems. Backup copies may persist for a short additional period consistent with industry-standard backup rotation.
5. Your Rights (CCPA / GDPR)
Depending on your jurisdiction, you may have the right to access the personal information we hold about you, correct it, delete it, or receive a portable copy. To exercise any of these rights, email hello@speedclose.io. Active clients can also self-serve via our /api/client/export and /api/client/delete endpoints, which require a valid client_id and webhook secret. We will respond to verified requests within 30 days.
6. TCPA & CAN-SPAM
Every SMS conversation honors the standard STOP, END, QUIT, CANCEL, and UNSUBSCRIBE keywords; opting out removes that phone number from the specific client’s outreach only (not globally across SpeedClose). Every outbound email includes a clear unsubscribe link and the sender’s physical business address as required by CAN-SPAM. Quiet hours default to 9:00 PM – 8:00 AM in the client’s local timezone and are enforced automatically.
7. Cookies & Local Storage
We use minimal browser storage. We do not run third-party advertising or analytics trackers on our dashboards. We use localStorage only to remember admin and client dashboard sessions.
8. Children
SpeedClose is a business-to-business service and is not directed to or intended for users under the age of 18. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify active clients by email to the address on file before the changes take effect. The “Last updated” date at the top of this page always reflects the current version.
